14.9 Sharing and Co-authoring

Co-authoring (एकाच वेळी एकत्र संपादन) lets several people edit the same workbook at the same time. It needs the file to be saved in OneDrive or SharePoint (Microsoft 365).

Steps in Excel

  1. Save to OneDrive/SharePoint: File › Save As › OneDrive – YourCompany. The AutoSave switch (top-left) turns On.
  2. Click Share (top-right) › type e-mail addresses (e.g. shraddha@example.com) › choose Can edit or Can view › Send. Or Copy link and set who the link works for (may vary by organisation settings).
  3. When others open it, their names/initials appear at the top right and coloured cell borders show where each person is working.
  4. Use Sheet View (View › Sheet View › New) so your filter/sort doesn't disturb others (Microsoft 365).
  5. Features that block co-authoring in some versions: the old Shared Workbook feature, files saved in older formats (.xls). Save as .xlsx/.xlsm. (Macros do not run in Excel for the web.)

Worked example. Daily_Targets.xlsx in the team SharePoint: Ravindra Bagale (Pune) and Shahrukh (Nagpur) type their targets at the same time; each sees the other's changes within seconds; AutoSave keeps one copy – no more Targets_final_v3_new.xlsx in e-mails.

Save a workbook to OneDrive, share it with a classmate with Can edit rights, edit the same sheet at the same time and observe the coloured cell indicators.
