14.8 Exporting to PDF

Steps in Excel

  1. Finish page setup first (14.4–14.7) – the PDF uses the same settings.
  2. File › Export › Create PDF/XPS Document › Create PDF/XPS, or File › Save As › Save as type: PDF.
  3. Click Options… › choose Active sheet(s), Entire workbook, Selection or a page range › OK.
  4. Optimize for: Standard (good print quality) or Minimum size (for e-mail).
  5. Name it clearly, for example Blinkit_Pune_Sales_31-03-2026.pdf › Publish.
  6. To export several sheets together, Ctrl-click their tabs first, then choose Active sheet(s).

Worked example. Select the Dashboard and City Summary tabs › File › Export › PDF › Options: Active sheet(s) › Publish. The two-page PDF is ready to send to all six city managers.

Ravindra Bagale's Tip

When creating a PDF, many students export only the current sheet and then realise another sheet was left out, or the PDF became 20 pages because the page setup wasn't done. Do the page setup first, then choose Active sheet(s) / Entire workbook in Options, and always open the PDF once to check it.

Export your Dashboard and City Summary sheets together into one PDF named with today's date in dd-mm-yyyy format, and check the page count.
