14.11 Version History

Steps in Excel

  1. The file must be on OneDrive/SharePoint (AutoSave On).
  2. File › Info › Version History (or click the file name at the top › Version History).
  3. The pane lists saved versions with time and author. Click a version – it opens read-only in a separate window.
  4. Restore to make it the current version, or copy the needed cells into the current file.
  5. For local files without OneDrive: File › Info › Manage Workbook › Recover Unsaved Workbooks (depends on AutoRecover settings – may vary by version).
  6. Review › Changes › Show Changes (Microsoft 365) shows who changed which cell recently.

Worked example. At 4:15 PM IST someone deleted the Nashik rows in Daily_Targets.xlsx. Open Version History, open the 3:30 PM IST version, copy the Nashik rows back (or Restore that version if nothing else changed). Show Changes tells you who deleted them.

Ravindra Bagale's Tip

When they make a mistake, many students panic and press Ctrl + Z many times, or rebuild the file. If the file is on OneDrive, you can find an old version in Version History – don't panic. But before you Restore, remember that other people's changes made after that will also be lost; if needed, copy only the cells you need.

Practice task

In a OneDrive workbook, make three edits a few minutes apart, open Version History, open the oldest version and copy one old value back into the current file.
