14.4 Print Area and Page Breaks

Steps in Excel

  1. Select the range to print (for example the City summary A1:F40) › Page Layout › Page Setup › Print Area › Set Print Area.
  2. To add another range: select it › Print Area › Add to Print Area (each area prints on its own page).
  3. View › Workbook Views › Page Break Preview – blue lines show page breaks; drag them to change pages.
  4. Insert a manual break: select the row below where the new page should start › Page Layout › Page Setup › Breaks › Insert Page Break.
  5. Breaks › Reset All Page Breaks removes manual breaks; Print Area › Clear Print Area removes the print area.

Worked example. A 90-row city-wise orders list: set a print area A1:H90, insert a manual page break above the first row of each new city (Pune starts row 2, Nagpur row 32, Nashik row 50…) so every city manager gets their own page.

Ravindra Bagale's Tip

Many students press Ctrl + P and print directly, and then 15 pages come out – half of them blank or with a single column. Before printing, always check in Page Break Preview and set the Print Area. Save paper, and the manager is happy too!

Set a print area on your city summary, open Page Break Preview, and insert manual page breaks so that each of the six cities starts on a new page.
